Facilities Usage


Parish groups and organizations have first priority on use of the activity hall and auditorium.
Permission to use said facilities by parish groups would be granted at the time that the annual parish calendar is printed or by contacting the hall manager.
The person making application is presumed responsible for the facility and its use.


RENTAL POLICY: The activity hall and auditorium will be rented only to St. Helen parishioners for personal use (example: showers, wedding receptions).
No outside groups or organizations will be allowed to rent the above-mentioned facilities even if a member of St. Helen Parish belongs to the group or organization.
Essentially the ONLY RENTAL will be to registered members of the parish for their own personal use.

During the rental period the parishioner who rents the hall MUST be present at all times and is responsible for the building, its occupants, and the orderly conduct of the event during this time.
Insurance must be purchased FOR ALL EVENTS from Michigan Catholic Conference at the rate of $100.00 per event.

The facility, including restrooms, must be left in a clean and orderly condition, all windows and doors must be secure, and all trash taken to the compactor.
At no time are the outside doors to be propped open to allow people to gain entry.
At no time is the office to be left open in the activity hall during a rental period.
The PA system and radio are not for use by people renting the activity hall.
Violation of the above rules will result in termination of rental privileges.

One security guard is required for every 200 people at a late afternoon or evening activity.
For groups of less than 200 people, or for daytime activities, it is up to the hall manager's discretion if a security guard is necessary.
If a guard is necessary, the person renting the facility will hire the guard at their own expense.

If the event is to be catered, it is the responsibility of the renter to make sure that the caterer is licensed.
The County Board of Health requires this since our kitchen is licensed.

Wedding receptions, anniversaries and other types of parties where the renters wish to serve alcohol must have the PERMISSION OF THE PASTOR IN WRITING . Alcohol may NEVER be served at graduation parties.

All parties must end at 11:00 PM and the premises vacated by 11:30 PM.




RENTAL FEES:

1. Charges will be required of individual members of St. Helen Parish who wish to rent facilities for personal use.

2. No rental fee will be charged to inter-parochial and/or diocesan organizations for their non-income activities. However, if they use the facility for an income producing activity, or if their presence involves overtime on the part of the custodial staff, normal rental fees will apply.

Auditorium $ 50.00 Required deposit (Refundable) $ 50.00 Insurance premium $ 100.00


2. After the facilities have been inspected and found to be clean and without damage, the deposit will be returned. If they are not clean or damage was found, the cost will be deducted from the deposit and the remainder, if any, will be returned to the renter with an explanation.

3. There will be no exceptions to the above rental fee policy without the written approval of the pastor, submitted to the hall manager, at the time of reserving the use of the activity hall or auditorium.

The parish wants the activity hall and auditorium available to everyone and does not want financial need to be a deterrent to a parishioner using the facilities.

The parish will make every concession possible based on the parishioner's ability to pay.
